Job Description

The Research Grants and Publications Coordinator plays a crucial role in managing and facilitating the lifecycle of research grants and publications. This position is responsible for the preparation, submission, and management of federal, non-federal, and foundation grants, ensuring compliance with all relevant regulations and policies. The coordinator supports the manuscript process, including the collection of necessary documentation and finalization of references for journal submissions. Additionally, the role involves creating visual content for grants and manuscripts and collaborating with research staff to obtain necessary data. The coordinator also organizes meetings and communicates with advisory boards and patient advocacy groups to ensure smooth operations and dissemination of information.

  • Oversee the preparation, editing, and submission of grant applications, including managing NCI biosketches and collecting necessary letters from internal and external sources.
  • Ensure timely review and submission of annual and final progress reports to stakeholders, maintaining compliance with all regulations.
  • Support the manuscript submission process by collecting conflict-of-interest statements and finalizing endnote references.
  • Create figures, tables, and charts for grants and manuscripts, collaborating with research staff to access and obtain data.
  • Organize and facilitate communication with advisory boards and patient advocacy groups, ensuring they receive all relevant materials.
  • Schedule and facilitate meetings related to clinical, translational, and basic research, recording attendance, and disseminating minutes.
  • Stay current with federal and non-federal regulations, policies, and processes, adapting practices, as necessary.
  • Perform other related duties as assigned.

  • Bachelor’s degree in scientific field required; master’s degree is preferred.
  • 2 years of relevant experience working in a clinical, academic research, or similar setting
  • Prior experience with using social media to promote research.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Communication: Outstanding oral and written communication and interpersonal skills, with proven ability to write and edit complex research materials in English and collaborate effectively within and between teams, maintaining flexibility and professionalism in a deadline-driven environment.
  • Effective Stakeholder Collaboration: Demonstrated ability to exercise sound judgment in interactions with key stakeholders, ensuring effective communication, fostering positive relationships, and facilitating successful collaboration across various levels of an organization.
  • Regulatory Expertise: Strong knowledge of regulatory affairs, research ethics, and the responsible conduct of research, with a preference for candidates who demonstrate expertise in these areas.
  • Computer literacy: Proficient with new applications and software programs, including Endnote. Proficiency with Excel/Google Sheets preferred.
  • Organization: Proficient with electronic document and email file storage. Able to complete projects with proficiency, accurately and on time. Proficient at prioritization and managing multiple priorities simultaneously.
  • Customer Service: Provides excellent written and verbal communication. Demonstrated proficiency with listening, inquiry, follow-up, and problem-solving skills.
  • Critical Thinking: Demonstrated proficiency assessing complex situations and developing solutions. Proficient in analyzing grant data through research, comprehension and application of regulations, policies, and procedures including NIH and other Federal, state and foundation regulations. Ability to work independently with minimal supervision.
  • Teamwork and Collaboration: Proficient in cultivating relationships with department research staff and central departments.
  • Institute Operations and Processes: Proficient at directing department research administrators to appropriate departmental and institutional resources, including inquiries with sponsors when published instructions require clarification.
