As a successful candidate, you will:

This position provides Cherng Family Center for Integrative Oncology education coordination, project management and administrative duties for the Education Director of the Cherng Family Center for Integrative Oncology. Responsibilities include developing novel integrative programs, platforms, and resources for Integrative Oncology education initiatives, managing fellows and fellow related projects, managing competency assessments and timelines, scheduling project meetings, preparing reports, assisting with meeting preparation, assist with metrics tracking, marketing and promotion, and customer relations. Position requires flexibility, excellent interpersonal skills, experience in project coordination, research skills, and education, and the ability to work well with all levels of internal management and staff, outside clients and vendors. Must be well organized and enjoy the administrative challenges of supporting multiple projects. Must have the ability to positively interact with staff (at all levels) in a fast-paced environment, remaining proactive, resourceful and efficient; a high level of professionalism is crucial to this role. Excellent written and verbal communication skills; attention to detail is important. Duties include, but not limited to the following:

Duties & Responsibilities

Fellowship Coordination:

  • Assist in collecting and evaluating new fellow applications
  • Onboarding for new fellows
  • Assist Fellows with Research Project documents and IRB submissions
  • Coordinate and schedule educational programs such as Journal Club and Didactic Presentations
  • Coordinate grant applications and budgets related to Integrative Oncology Education/Fellows
  • Support continuous optimization of initiatives in the fellowship and other educational initiatives
  • Maintenance of curriculum building materials and presentations
  • Tracking and maintaining fellow’s hours and progress in required training hours
  • Written (including email and letters) correspondences between Integrative Program, fellows and all other outside entities
  • Compile Presentations related to Integrative Oncology and Education
  • Primary Point of Contact for all fellow related inquiries

Project Management:

  • Assist Director and Fellows with abstract (including poster presentations), manuscript editing and submissions
  • Assist Director with planning and coordinating of Cherng Center education initiatives including Fellowship related initiatives and content development
  • Tracking and maintaining data for evaluating education Key Performance Indicators
  • Coordinate with key stakeholders on staff, patient and community education initiatives such as the cooking series, etc
  • Coordination with Information Technology and website development

Administrative:

  • Assist in compiling and submission of annual documentation for compliance or accreditation
  • Coordinate registrations for conferences or outside educational experiences
  • Oversee billing and invoice processing and payments
  • Project and time management:
  • Effectively and efficiently manages multiple projects.
  • Manages time so that daily, weekly, monthly duties are completed on time and demonstrate flexibility by changing tasks as needed to achieve shifting priorities.
  • Takes an orderly and efficient approach to tasks, setting priorities and handling several situations at once.
  • Meets customer service expectations:
  • Demonstrates the customer satisfaction standards set for the institution.
  • Actively participates in ways to prevent customer complaints and dissatisfaction with services.
  • Focuses attention and actions on what is best for the patient or customer.
  • Attempts to identify all customer needs and tries to meet and/or exceed expectations.
  • Interacts with all customers in a caring manner.
  • Contact with others is polite and proactive.
  • Promotes a positive teamwork environment.
  • Creates closure after interactions.
  • Communicates effectively in a positive, respectful and concise manner.

Your qualifications should include:

  • Bachelor’s degree;
  • 3 additional years of experience plus the minimum experience requirement may substitute for minimum education.
  • 3-5 years of experience supporting leadership and education at various levels, project coordination/administrative experience. Experience working with Microsoft Suite, Redcaps, Excel, Qualtrics.

Salary / Pay Rate Information:
Pay Rate: $26.81 - $41.55 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
