Job Summary
The Department of Biological Chemistry in the University of Michigan Medical School is home to an outstanding portfolio of discovery science and educational programs for graduate, post-graduate, medical and undergraduate trainees. Biochemistry is foundational to all of biomedicine and a high priority area for the Medical School. Work in this department spans a wide range of topics including among others RNA biomedicine, gene expression, CRISPR biology, biochemical signaling and mechanism, metabolism, organelle biology, and more. We are seeking an Administrative Specialist to join our team with primary responsibilities for a diverse range of tasks aimed at ensuring optimal support and smooth office operations. This position requires a person that can operate responsibly and independently with the ability to prioritize work with varying degrees of complexity concurrently. Qualified candidates should be adept at learning new processes and systems, creating or modifying them as needed, and contributing to the team effort. A high level of integrity and commitment to functioning as an integral, trusted colleague within our administrative team is essential.

Responsibilities*
Procurement

Manage and process all procurement activities for the department including lab supplies, office equipment, and other materials.
Utilize University procurement systems (e.g., M-Marketsite, eProcurement) to generate purchase orders and track inventory.
Liaise with vendors regarding order status, delivery schedules, and any discrepancies.
Ensure that procurement activities conform to university policies, state/federal regulations, and departmental guidelines.
Maintain accurate records of all procurement transactions and provide regular updates to the department administrator and other relevant personnel.
Expense Reporting

Oversee the timely preparation, submission, and reconciliation of expense reports for faculty, staff, and students using the University's Expense System.
Review and verify receipts, documentation, and compliance with university and funding agency policies.
Assist in identifying and resolving discrepancies or issues related to expense submissions and approvals.
Administrative Support

Provide administrative support to departmental faculty, staff and learners, including but not limited to:

Support for Biological Chemistry educational programs (e.g. assist with the preparation and/or posting of course materials, respond to student inquiries).
General office duties such as travel arrangements, event coordination for departmental and student activities, managing correspondence, scheduling meetings, and maintaining office supplies.
Participate in special projects as needed and other administrative duties as assigned.
Required Qualifications*
Bachelor's Degree and reasonable professional experience is normally required although an equivalent combination of education and experience may be accepted.
Proficiency with University of Michigan procurement and financial systems (e.g., M-Marketsite, Concur/ChromeRiver) is a strong advantage.
Experience in student administration and program support
Experience working in a higher education or research environment.
